The federal Ombudsman's new website is much more citizen-oriented
A conversation with the communications manager, Pierre Charlot
The website of the federal Ombudsman is completely revamped. Why a new website?
It was an essential and urgent renewal within our organisation. The previous website was seriously outdated and was now 12 years old. In addition, the website was no longer supported by the software. We also had problems with our complaint forms, and dealing with citizens' complaints is precisely our core task. Citizens must be able to contact us quickly.
The old website did not comply with the rules of accessibility (WCAG) and did not have a responsive or mobile-friendly design.

What was your experience of our personal support?
The project manager reflected with us and chose an approach that was feasible and at the same time ambitious in order to achieve the best result. As a result, we quickly saw what had to be changed and took concrete action.
An important point is the multilingualism of the website. Why?
The website's multilingualism was an ambitious component but very important indeed. In addition to the three national languages, the website is also available in English. People abroad often depend on us. We also want to be present internationally and in the different ombudsman networks.
Complaint management is one of the Ombudsman's core tasks. Therefore, web forms in which visitors can report complaints are important. How do you use them?
We are very happy with the extended web forms. We can see that they are intuitive because the complaints we receive now have a clear structure. We chose a step-by-step approach in the form, so we can help people better.
The new design also ensures that we receive more 'correct' complaints because there are several ombudsmen in Belgium, each with their competence. It is our job to make this clear to the visitor.

Voldoet de nieuwe website aan jullie verwachtingen?
We zijn zeer blij met het resultaat en onze verwachtingen zijn ingelost. We kregen een goede begeleiding met een heldere aanpak.
Hoe ervaar je het dagelijkse gebruik van het Paddle CMS Platform?
Het is een gebruiksvriendelijk systeem dat ervoor zorgt dat we bijvoorbeeld snel nieuwsberichten kunnen plaatsen. Met het CMS kunnen we een dynamische website maken, aangepast op de vragen die leven bij de burgers. Je kan elke pagina op een andere manier weergeven.
Bij vele organisaties dringt een vernieuwing van de website zich op. Hebben jullie tips voor collega’s?
Bekijk de vernieuwing niet alleen vanuit communicatieoogpunt, maar vanuit de gehele organisatie. Zo zorg je ervoor dat de website een tool is die bijdraagt aan een sterkere organisatie.
Betrek collega’s uit andere diensten bij het project. Op die manier kan je de werklast verdelen en vergroot je de samenwerking. Wij zien bijvoorbeeld dat verschillende diensten en de communicatiedienst nauwer en regelmatiger ging samenwerken en de verschillende invalshoeken duidelijker zijn geworden door het gezamenlijke project.
